Our B2B Contact Verification Methodology

Not every contact that matches a job title belongs on a sales list. Verified Pipelines uses a structured research and verification process to evaluate whether a company, contact, role, and contact detail are relevant and usable for your outreach.

Research → Verify → Cross-check → Quality-check → Deliver

Our B2B Contact Verification Methodology

Why B2B Contact Verification Requires More Than an Email Check

A contact can have a working email address and still be a poor prospect.
They may no longer hold the role, work for the company, match your target market, or have the responsibility you are looking for.
That is why our verification process looks at the contact in context — not just whether an individual data field appears valid.

A verified email is useful.
A verified, relevant decision-maker is much more valuable.

Our Verification Process

Every prospect goes through a structured sequence of checks. The exact depth of research can vary depending on the customer’s requirements, but the core process follows these stages.

Contact or Email Verification process

1. ICP Matching

We begin with your Ideal Customer Profile and target criteria. Companies and contacts are evaluated against factors such as industry, location, company characteristics, and the type of decision-maker you want to reach.

2. Company Verification

We check that the company matches the requested target and that the relevant company information is consistent with available sources.
(This helps prevent unrelated or poorly matched businesses from entering the final list.)

3. Contact & Role Verification

We research the individual and verify their relationship with the company, job title, seniority, and relevance to the requested role.
(The goal is to identify the right person, not simply someone with a similar title.)

4. Domain & Email Verification

Where an email address is included, it is checked against the company domain and subjected to email verification before delivery.
Potentially risky or unverifiable addresses can be excluded or flagged rather than treated as automatically valid.

5. Cross-Source Validation

Important contact information is checked across relevant professional and company sources where available.
Cross-checking helps identify inconsistencies such as outdated roles, incorrect company associations, or mismatched information.

6. Duplicate & Outdated Record Check

We check for duplicate records and obvious signs that information may no longer be current.
This is particularly important because B2B contact information changes as people move between companies and roles.

7. Intent Research

When requested, we research specific keywords or signals related to your target market.
Intent research is used to add context and prioritization to the prospect rather than simply adding another data field.

8. Verification Status & Date

Each delivered record can include its verification status and verification date.
This gives you visibility into when the information was assessed, rather than presenting contact data as permanently accurate.

9. Final Quality Check

Before delivery, records go through a final review against the requested criteria.
Contacts that do not meet the agreed requirements are removed, corrected where possible, or flagged appropriately.

Verification Is a Point-in-Time Assessment

B2B data changes constantly. People change jobs, companies restructure, domains change, and contact information can become outdated.
Our verification process is designed to assess information at the time of research and delivery. A verification date therefore matters.

We do not claim that a contact will remain accurate indefinitely, respond to outreach, or become a customer.

What verification does not guarantee

  • A response from the prospect
  • A successful sales conversation
  • A conversion or purchase
  • Permanent accuracy after delivery
  • Guaranteed inbox placement

Contact verification is also separate from determining whether personal data can be collected, processed, or used for a particular purpose. Applicable privacy and data-protection requirements should be considered alongside data-quality practices. The European Commission explains that professional business email addresses can constitute personal data under the GDPR. European Commission — Application of the GDPR

What Happens When a Contact Doesn’t Pass?

If a record does not satisfy the requested criteria or cannot be sufficiently verified, we do not treat it as equivalent to a fully verified contact.

Depending on the issue, the record may be:
Excluded → Rechecked → Corrected → Flagged

Our Verification Principles

Relevance Before Volume

A smaller list of relevant contacts is more useful than a larger list filled with poor matches.

Multiple Checks

We don’t rely on a single data point to determine whether a contact is suitable.

Freshness Matters

Verification dates provide context about when information was assessed.

No Artificial Accuracy Claims

We don’t promise that contact information will remain accurate forever or that every prospect will respond.

Our Standards and Our Process

Our verification standards explain what we consider a quality B2B contact. Our methodology explains how we evaluate contacts against those standards.
